Human-in-the-Loop (HITL) Services

Keep Your Invoices Moving. Human Oversight When It Matters.

WareConnect combines automated invoice processing with human verification to help finance and accounts payable (AP) teams resolve exceptions, reduce manual effort and maintain control over invoice workflows. It adds human oversight to invoice automation when document information needs attention.

Let routine transactions progress automatically. When information needs attention, choose whether your team, DataDevice’s verification specialists or both manage the review.

More reliable processing. Clearer exception handling. Your business stays in control.

Automation Is Powerful. Real-World Documents Are Not Always Perfect.

Accounts payable automation helps finance teams capture, validate and route supplier invoices with less repetitive work. Automated invoice processing is most effective when documents contain the information needed for matching, allocation and approval. But supplier invoices are not always complete or consistent: purchase order numbers may be missing, job details may be unclear, or extracted values may not match the source document.

Without controlled invoice exception handling, AP teams can spend time investigating issues, correcting data and restarting transactions. Human-in-the-Loop (HITL) invoice verification provides a practical way to resolve exceptions without requiring every invoice to be reviewed manually.

  • Missing purchase order, job, account or other required references
  • Unclear or inconsistent extracted information
  • Supplier identification and matching exceptions
  • Potential duplicate documents or unexpected amounts
  • Customer-specific validation rules and unresolved exceptions

The objective: let correctly validated invoices progress through the configured invoice approval workflow while directing genuine exceptions to the appropriate reviewer. Human verification supports, but does not replace, business approval.

How HITL Improves Automated Invoice Processing

1. Receive

Supplier invoices, credit notes, statements or other configured document types enter the workflow.

2. Capture

Configured document capture services identify relevant information.

3. Validate

WareConnect applies required-field checks, business rules and available matching references.

4A. Automated path

Documents satisfying configured checks proceed to the next authorised stage without unnecessary manual verification.

4B. HITL path

Documents needing attention are reviewed by an authorised customer user or DataDevice specialist, corrected where possible, then revalidated. Unresolved issues are escalated.

5. Progress

The document moves to the applicable approval, further review or authorised downstream handoff.

In a configured invoice automation workflow, capture and validation checks run first. Documents that meet the requirements can move forward; invoices with missing fields, purchase order matching discrepancies or uncertain values are directed to authorised verification. Corrected information is then revalidated before the next permitted step.

Human verification does not bypass validation, approval or payment controls.

Invoice Verification Goes Beyond Checking Extracted Text

Depending on the configured workflow and agreed service scope, human verification can include:

  • Document classification and preparation: checking document type or page grouping where supported.
  • Extracted information verification: comparing uncertain values against the source document.
  • Supplier and reference checks: investigating supplier, purchase order, job or location information using approved sources.
  • Business-rule checks: reviewing discrepancies involving totals, tax, duplicate warnings and configured validations.
  • Correction and escalation: submitting verified corrections for revalidation or referring unresolved issues to customer personnel.

Verifying document information is not the same as approving a commercial transaction. Decisions about expenditure, disputed amounts, credits, variations and payments remain with the customer’s authorised personnel.

Choose Your HITL Service Model

Customer-Managed HITL

Your own finance, AP or operations team reviews and resolves document exceptions through the configured WareConnect workflow. This suits organisations that want direct ownership of verification and already have internal resources.

DataDevice-Managed HITL

DataDevice’s trained verification specialists review and correct agreed operational exceptions using approved access, customer-specific instructions and defined escalation procedures. This gives customers additional verification capacity without requiring their own team to manage every routine exception. Scope and service commitments are agreed separately.

Hybrid HITL

Your team and DataDevice share verification responsibilities according to the agreed workflow. DataDevice may handle selected operational checks while customer personnel manage specialist exceptions, commercial decisions and approvals.

  3. Establish approved access, working instructions and controls.
  4. Train and onboard specialists against representative scenarios.
  5. Operate, review quality and refine the agreed procedures.

HITL in Real Business Situations

Illustrative construction plans and supplier records used to investigate a job reference

Missing Job Reference — Construction / Jobpac

Automated checks cannot reliably identify the appropriate job. An authorised reviewer verifies the available information, corrects the reference where supported or escalates it. The document is revalidated before its configured downstream handoff.

Purchase Order or Amount Mismatch — Databuild

WareConnect identifies an inconsistency between invoice details and available purchase order or job information. An operational data error can be reviewed and corrected; a genuine overage or commercial dispute goes to the authorised customer decision-maker. Approval requirements remain in force.

Potential Duplicate Invoice — Accounts Payable

Configured duplicate checks flag a document that may have been processed before. A reviewer investigates the relevant records. Confirmed duplicates are not progressed as ordinary new invoices; appropriately cleared documents can continue.

Unclear Invoice Information — Document Verification

A capture result contains uncertain values. The reviewer checks the source document and corrects information that can be verified. Missing facts are escalated rather than guessed.

Supplier Statement Discrepancy — Where Configured

When statement matching is available and configured, unmatched entries can be investigated and referred for customer reconciliation or supplier follow-up.

These examples illustrate possible workflows. Checks and review actions depend on the customer’s modules, integration and configuration.

Invoice Processing and Exception Handling Across WareConnect Integrations

Invoice Exception Visibility, Audit History and Continuous Improvement

A controlled verification process can provide visibility into document status, validation outcomes and relevant review actions. Corrected information is rechecked against applicable rules before progressing.

Where supported, verified customer-specific mapping or allocation decisions may help resolve similar future cases. This does not mean every correction automatically retrains an AI model. Reuse depends on the configured capabilities and integration.

The goal is fewer avoidable exceptions over time, without compromising customer control.

Human Oversight Without Losing Business Control.

  • Authorised access: reviewers use approved applications and permissions.
  • Defined responsibilities: operational verification and escalation roles are agreed in advance.
  • Traceable processing: available audit and review history follows the configured workflow.
  • Customer authority: expenditure approval, disputed commercial decisions and payment authorisation remain with the customer.

For DataDevice-Managed HITL, access arrangements, information handling, service scope, quality procedures and escalation requirements are defined during engagement planning. Detailed staffing arrangements are addressed in proposals, not on this webpage.

Frequently Asked Questions

Does every invoice require human verification?

No. Documents satisfying applicable checks can progress automatically. HITL is used where information, rules or customer policies require review.

Can our own team manage HITL?

Yes. Customer-Managed HITL allows authorised internal users to review and resolve relevant exceptions.

What is included in DataDevice-Managed HITL?

Agreed operational tasks may include data verification, document classification review, reference checks, correction and escalation. Exact scope is defined in the service arrangement.

Can we combine our team with DataDevice specialists?

Yes. Hybrid HITL shares agreed verification responsibilities while keeping customer approval authority intact.

Can DataDevice approve our invoices or payments?

Operational verification is different from commercial approval. Customer-authorised personnel retain expenditure and payment decisions.

What happens when an exception cannot be resolved?

The issue is referred for further investigation or escalated to the appropriate customer personnel rather than resolved using guessed information.

Does WareConnect improve after human corrections?

Some configured capabilities can reuse verified customer-specific decisions. This is integration-dependent and is not universal AI model retraining.

Is HITL identical across every integration?

No. Available checks and review actions depend on the product, modules and configuration.

Is managed HITL mandatory?

No. Customer-managed and hybrid options are also available, subject to the configured workflow.

How are service times and responsibilities agreed?

Service scope, operating arrangements, escalation and applicable commitments are defined during engagement planning.

How does human verification support accounts payable automation?

Human verification handles selected exceptions such as uncertain extracted values, missing references and matching discrepancies. This allows routine invoices to follow automated processing while AP teams retain oversight of unresolved issues and commercial approvals.

What happens when invoice automation cannot process an invoice?

When configured validation or matching checks cannot resolve an invoice, WareConnect directs the issue to the appropriate exception workflow. An authorised reviewer verifies available information, corrects supported fields or escalates unresolved issues. The invoice is revalidated before progressing.
